Notes Our client seeks a Temporary Administrator to join their team for approximately 12 weeks. Role Profile: This role will provide an excellent level of service to internal and external customers. This will involve working closely with other members of the Corporate Services team in a customer-facing role, and supporting the administrative functions provided to the other Directorates. Key Responsibilities: To be the first point of contact for members of the public visiting the public counter and making contact by the general phone lines and general email box. To respond to enquiries, actioning or referring on as appropriate. Opening incoming post and dispatch to appropriate directorate and record/receipt/process any payments. Receiving and dispatching deliveries. Reviewing the Department's website ensuring the content is kept up to date, liaising internally to request updates. General housekeeping - keeping the reception area tidy/monitoring and replenishing leaflet stocks and watering plants. Maintaining the physical stock of official order books and record of order books issued to designated holders. General filing, photocopying and scanning, ensure the photocopies are well stocked with paper and any faults are reported. Responsibility for the ordering and stocking of stationery items and tea/coffee/sugar/milk stocks, ensuring that the stationery cupboard is kept in a tidy manner. Raising E-Req purchase orders in AX for Corporate Services, deliver order items, liaise with Treasury regarding open/incomplete orders. Ordering of IT equipment, point of contact for maintenance and fault logging of shared IT kit and passing on messages through the Department. Meeting support, ensuring the rooms are tidy and set up with glasses and jugs of water, meeting and greeting attendees and offering hot drinks. Providing digital support when required. Monitoring confidential waste bins and arranging for collection/replacement; ensuring all cardboard is removed to external bins. Collection of vehicle mileage forms from pool cars. Carry out weekly fire alarm testing. Support other staff readily when asked in order to achieve team objectives. Has positive energy and drive and is disciplined, motivated, and work with energy and enthusiasm to complete tasks on time. Able to manage normal interruptions, changes and additions to workloads. Good team player. Self-motivated with the ability to work with minimum supervision, whilst knowing when to seek advice.
